Upcoming E-mail Changes

At the end of this post is a legitimate e-mail that went to all staff last week from Cornell with the subject “Change to your Cornell email and Office 365 early October”.

E-mail Handling (Junk Filtering and Forwarding)

Cornell has decided to use Office365 for routing our e-mail. This change will happen in October.  (Currently, routing and spam filtering is done by Cornell.)  Cornell is expecting that this move will improve efficiency of mail routing (forwarding) and increase compatibility with Microsoft’s processes.

  • Please be sure to follow the instructions from CIT at the end of this e-mail to check that your Junk mail filtering is on and that your forwarding (if you have this set up) in “Who I Am” is accurate.

  • Some early users have reported more spam getting through to their Inbox (since moving over to Office365). Others have reported less. Most say they have seen no change. You will definitely see more spam in your Junk Mail folder, as Microsoft filters out some of the messages that PureMessage formerly blocked. You should check your Junk Mail folder from time to time to see if any non-junk messages ended up there. If you see a valid message there, right-click it, then select the “not junk” option.

 

Say Goodbye to ‘Clutter’ filtering

Microsoft is replacing the ‘Clutter’ folder with ‘Focused Inbox’.  Focused Inbox is currently only supported in Outlook on the web (http://outlook.cornell.edu) and in the Outlook apps for iOS and Android.  Since most of us at CCE use the Outlook program on our desktops/laptops to check our e-mail, and not through http://outlook.cornell.edu, this change just means that soon we will no longer have e-mails being filtered into the Clutter folder (if you had it enabled).

FYI: Email previously saved to the Clutter folder will stay there, but once Clutter is turned off, no more mail will automatically go into the Clutter folder.

In early October, your Cornell email will change so that it will no longer pass through Cornell’s infrastructure and will be routed directly to Office 365.

There are two things you can do to improve the likelihood of a smooth experience.

Make sure Junk mail filtering is turned on in Office 365:

Check your forwarding setting in Who I Am to make sure it’s accurate, still necessary, and forwarding to no more than one place (this includes Cmail):

Your forwarding in Who I Am will automatically be copied into Office 365 when the change occurs unless you’re currently forwarding to multiple outside accounts. If you are currently forwarding to multiple places, change your forwarding setting now so there’s only one. This will ensure mail continues to be delivered to the forwarded location in addition to being delivered to Office 365.

Note: Sending email to Cmail counts as forwarding, so if you forward email to Cmail only, that will be copied into Office 365. If you forward to Cmail and one or more other destinations, you’ll need to choose only one destination in order for that forward to be copied into Office 365 automatically.

After the change, since junk mail handling will be done by Office 365, you may notice some differences, like your Junk folder collecting more spam as it accumulates messages that previously would have gone into a separate quarantine that wasn’t part of Office 365. Also, it will no longer be possible to completely opt out of spam filtering, since Office 365, like most major email service providers, does not provide this as an option.

CIT is making this change as directed by the university’s IT Governance Council to make more efficient use of Cornell’s IT resources and as part of the ongoing process of using cloud services to meet the Cornell community’s IT needs. Most people who have already experienced this change said their mail service seemed the same or better.
