New MJBE Reports

Good afternoon,

Important information about Phase Two of Multiple Jobs Benefits Eligibility:

What’s happening and when?

As a reminder, we are now in the second phase of multiple job benefits eligibility (MJBE) which requires that all employees with multiple appointments are in compliance with the new guidelines. All impacted employees must be carefully reviewed and updated by October 22nd to ensure that all eligible employees are included in the upcoming Open Enrollment.

If you were unable to attend a MJBE training this summer, we will be posting an online version of the session on the Workday website within the next week.

What steps are needed?

a) First review and clean-up existing appointment data in Workday:

  • Scheduled weekly hours – hours must be as accurate as possible based on average hours worked. Review actual hours worked, on average, over the last few months (in Kronos) and make changes to Scheduled Weekly hours in Workday.
  • Duration of appointment – Please use the Fixed Term Appointments report to:

 – Review the length of existing appointments (Ex: casual appointments that are appointed for 1 year, but actually work less than that or work on and off).

     – Ensure that all appointments with past end dates have a Termination event (Ex. Temp employee had an appointment end date of 8/15/14 but is still showing as active because a Termination was not entered).

b) Next, run the new MJBE reports (available to Administrative Mangers, Management Partners and HR Partners) to help you identify impacted employees:

Multiple Job Benefit Eligible (MJBE) – Primary Job in Your Org

This report will show MJBE primary and additional job data for the following situations:

 The primary job is located in the selected supervisory organization or,

 The primary and additional job are both in the selected supervisory organization.

 The employee type of the primary job is Fixed Term No Benefits.

 It EXCLUDES those that have only an additional job in the selected organization, for this population please see ‘Multiple Job Benefit Eligible (MJBE) – Additional Job in Your Org’.

Action Required: The HR Rep for the primary job should contact the HR Rep for the additional job to determine the appropriate action.

Multiple Job Benefit Eligible (MJBE) – Benefit Eligible Retirement Add-on

This report will show MJBE primary and additional job data for the following situations:

 The primary job is located in the selected supervisory organization, or

 The primary and additional job are both in the selected supervisory organization.

 The employee type of the primary is either Regular or Fixed Term with Benefits (the employee is currently Medical & Dental Eligible).

 It EXCLUDES those that have only an additional job in the selected organization.

Action Required: The HR Rep for the primary job should contact the additional job HR to initiate an Employee Type change to Fixed Term w/Benefits so that retirement can be calculated on ALL jobs. Please see the important note c) below.

Multiple Job Benefit Eligible (MJBE) – Additional Job in Your Org

This report pulls primary and additional job data for the following situations:

 The ‘additional jobs’ are located in the selected supervisory organization.

 The employee type of the additional jobs is Fixed Term No Benefits.

 It EXCLUDES those in which the primary job is within the selected supervisory organization.

Action Required: The HR Rep for the additional job should contact the HR Rep for the primary job to determine the appropriate action.

Overall Reminder: The multiple jobs must overlap more than 60 days, so please be sure to review the position start and end dates.

c) Important: If you determine you have an employee that must be made benefits eligible (changing the employee type), it is necessary to first submit a ticket to hrpayrollsupport@cornell.edu in order for the Benefits Partner to review and update benefits eligibility.
